Added Copy Procedures

The library often purchases multiple copies of the same book, and these require special steps for cataloging.

IV. Create a MFHD for an Added Copy:

           If the copy did not go through Acquisitions, there would not be a MFHD in Alma.  This includes most of the gift copies sent to us from the Annex. There are two ways of creating a MFHD.

  1. Make a copy from a previously added MFHD.
  1. Go to the MFHD of the copy added previously.  When the MFHD record is displayed, select File > Duplicate.
  1. Make sure that the location in $b, $c, and call no. in $h and $i still apply to the new copy. All notes associated with previous copy should also be deleted.  They are generally in subfield $x of the 852 field. For example:

852  10  $b Main $c Book $h 530 $i P437z $x gift; das $x Book 2 $x Received 4-17-2009 $x First search 04/23/09 hef $x Gift;addvol(Bk 1); received 5-28-2009; das

  1. Follow the instructions in I for purchased copy, and in II for gift copy. 
  1. Create a holdings record when a bib record is open.
  1. Select Add holdings button (Ctrl + Alt + H)
  1. Follow the instructions in I for purchased copy, and in II for gift copy
