Instructions for how to use the Courses app in the FOLIO tenantOklahoma for the A&M Consortium.

How to Add a Course

Navigate to the Courses App in FOLIO.

  1. Click on the Actions button and select “New.”
  2. Fill out the Course Name
  3. Select your campus from the Department list.
  4. Select the correct term for the course. Terms are created in the Settings App.  Your course will only be active if the term you select covers the current date. If a course’s term starts in the future, the course will be marked “pending.” If the term selected is in the past, the course will be marked as “inactive.”
  5. Select the Reserves location where the course material will be held. It is extremely important to set the correct location for your courses.  Selecting the correct location will impact how the items on course reserve circulate and how patrons see the Course Reserves in EBSCO Discovery Service. 
  6. Fill out the other fields as needed.
  7. Click Save and Close at the bottom of the screen.

How to Add an Instructor to a Course

Instructor name is not a required field. However, you may want to add instructors when possible since patrons will be able to search by instructor in EBSCO Discovery Service (EDS).

  1. From the course list in the Courses App, click on the name of the course you would like to edit.
  2. To Add an instructor, click on “add instructor” under the Instructors section of the course record.

 

  1. In the next screen you can type in an instructor’s name and barcode, or you can use the “Look up user” option if the instructor is a patron in the FOLIO system. Note: it is recommended that you use the “Look up user” feature whenever possible to ensure correct spelling of names, as patrons will be able to search for instructor name in the EBSCO Discovery Service.
  2. Repeat the process to add multiple instructors.
  3. Click Save and Close.

How to Edit a Course

  1.  Select the course you want to edit from the courses list by clicking on the course.
  2. Click on the actions button and select "Edit."
  3. Make needed edits.
  4. Click Save and Close.
