Our A&M Consortium is a collection of many institutions using one FOLIO tenant. In order to work together smoothly, the FOLIO Implementation Team is providing a framework of settings to provide constancy and reduce confusion.

Every employee of the Oklahoma A&M Consortium who uses Folio will need to have a User Account. Most of these employees will have their own account, and they will be able to logon with SSO after added to the correct OKEY "Global Group". Most circulation staff can update user accounts; however, only administration is capable of adding permissions and service points.
Students and part-time employees may have a shared user account. These accounts have a "libstaff" patron group. Each institution has their own libstaff patron group. These employees can access these accounts with username and password. (Sometimes, a supervisor or administrator may need to reset the password to these by accessing the window where you edit the user account.)

The permissions for each individual user are maintained on a Google Sheet entitled, Individual Permissions. There is a tab for each institution and then several tabs for Oklahoma State-Stillwater. Whenever individual permissions are updated in Folio, they need to be updated in the spreadsheet and vice-versa.
This spreadsheet also includes all of the Service Points that a user is allowed to access.

New and Leaving Employees (And Employee Role Changes)
Whenever there is a new or leaving employee, their supervisor needs to fill out the
FOLIO: Oklahoma A&M Consortium - New Library Employee Form.

With a new employee, the DRDS Department Head will update the SSO account in Folio and add a "Global Group."
Two consortium members do not have Global Groups and their patrons do not have OKEYS (Nothern Oklahoma College and Phillips Theological Seminary).
A Folio Implementation Team member will provide the user with permissions and service points in Folio and on the Google spreadsheet.
If an employee leaves, a Folio Implementation Team member will deactivate the account, and they will delete the permissions and service points for that user. They will also update the Google spreadsheet.
Occasionally, an employee changes their role. A Folio Implementation Team member will update the Folio account as necessary and update the Google spreadsheet.
