Data Extracts

Experts Directory provides a number of data extracts to provide reports on the data within the system. 

If you have need for a report that is not included here, please complete a Support Ticket.

Go to search and reporting menu buttonSearch & Reporting > Data Extracts

The reports available to you will be displayed. Click the heart icon to favorite any of the reports/reports; you may then use the filter on the right side of the page to view all favorited reports/dashboards. See bottom of this page for a description of each report.

1. Click on the Run button next to the report you wish to run

2. Click Select Target group and click Confirm

  • Only groups for which you have 'Statistician' access will be available. If you would like to request Statistician access, complete a Support Ticket.
  • You may only run reports for one group at a time.

3. Select Start and End Dates (if available)

  • Enter a 'Date from' and a 'Date to' in the format 'DD/MM/YYYY'. These dates are inclusive.
  • Choose whether to include inactive users (those who have now left OSU)
  • Choose whether to include non-academic staff

4. Select a Format (if available)

  • Available file types (e.g. Excel, CSV) will be displayed.
  • If the report is a Data Extract, output will be in CSV by default.

Primary reports

  • Scholarly & creative works table (public and internal items): A table of a group or user's public scholarly & creative works with Privacy Level set to Public and Internal. Includes one row per unique user/item -- therefore there may be duplication if multiple users within the group co-authored an item. Deduplicate using the experts_publication_id field.
  • Scholarly & Creative Works By Group (deduplicated) (Public and Internal Items Only): A report of group's public scholarly & creative works with Privacy Level set to Public and Internal. Includes one row per scholarly work within the group selected. Refer to the osu_authors column to see the individual OSU authors on the publication. Refer to the authors column to see all authors (regardless of OSU affiliation).
  • Service & Outreach Activities table (public and internal items): A summary of user's public service & outreach activities with Privacy Level set to Public and Internal. Includes one row per unique user/item -- therefore there may be duplication if multiple users within the group co-created an item. Deduplicate using the experts_activity_id field.
  • Teaching Activities table (public and internal items): A summary of user's teaching activitiies with Privacy Level set to Public and Internal. Includes one row per unique user/item -- therefore there may be duplication if multiple users within the group co-created/taught an item. Deduplicate using the experts_teachingactivity_id field.
  • Grants table (public and internal items): A summary of a user's Grants, Other Funding, and Proposed Grants designated as "internal" or "public" only. Includes one row per unique user/item -- therefore there may be duplication if multiple users within the group were co-PIs an item. Deduplicate using the 'experts_grant_id' variable. Note: This report does not include information about grant funds, see Grant Fund Report for that data.
  • Grant funds table (public and internal items): A summary of a user's Grant Funds, Other Funding, and Proposed Grants designated as "internal" or "public" only. Includes one row per unique user/item -- therefore there may be duplication if multiple users within the group co-authored an item. Will include one row per fund per grant. Note: See Grant Report for only data on the main grant.

Other reports

  • Academic CV: An academic CV populated with personal details from an individual's profile, including associated research outputs, activities and grants. This is a "stock" report and at this point may display errors or incomplete data. Further development to this report will be implemented in the future.
  • Academic Appointments: Provides all data from academic appointments table (includes institutional and academic appointments) by group.
  • Associated identifiers: Returns information on identifiers (e.g. ORCIDs, Scopus IDs) used for automatic publications claiming
  • Associated ORCID iDs: The ORCID iDs that are associated with users, including their connection status.
  • Faculty Degree Table: A table of degree data for all faculty members in the group selected, designated either "Internal" or "Public." Data includes degree name, field, institution, city, country, graduation date, and thesis title (if provided). The 'degree_index' column specifies the order in which they appear, with 0 indicating the top degree. 
  • NIH biographical sketch (2015): Required for due dates on or after May 25 2015 and encouraged for applications due on or after January 25 2015, using data available on your profile.
  • NIH biographical sketch (2021): Required for due dates on or after January 25 2022 and encouraged for due dates on or after May 25 2021, using data available on your profile.
  • Public Profile Status Report with Departments: This report provides the count of public, internal , private and percentage of public users at the college level
  • User profile completeness with Departments: Returns a completeness report for user's profiles, including a field for department.
  • User Information: Returns general information about a user or group of users, including name, tenuring and administrative department, URL, and more.
