Experts Directory: Customize search settings

Experts Directory automatically collects citations for your scholarship from databases such as Scopus, PubMed, and arXiv.

 

Increase the accuracy and precision of this search (and reduce your pending publications) by following the steps below in order:

  1. Automatic Claiming
    • Configure Experts Directory to auto-claim or auto-reject scholarly & creative works
  2. Name-based Search Settings
    • Configure your name search settings to increase or decrease the number of works that come into your Pending queue
  3. Clear Pending Queue and Run a New Search
    • After making changes, you can delete all pending publications and re-run the search using your new parameters.

 

After you have completed these three tasks, navigate to the Manage Scholarly & Creative Works page.


Part 1 - Automatic Claiming

First, configure the identifiers Experts Directory uses to claim and reject your scholarly & creative works.

Go to Experts Directory menu icon(Menu) > Settings > Automatic Claiming

  1. Does this ORCID/Scopus ID identify you?
    • You may see a question at the top asking if a set of identifiers (e.g. ORCID, Scopus, arXiv) and email addresses belong to you. 
      • If the identifier belongs to you, click on the Yes button. All works associated with the ID will be automatically claimed.
      • If the identifier does not belong to you, click on the No button. All works associated with the ID will be automatically rejected.
      • Selecting Ignore will keep the works in your pending queue. All works associated with the ID will neither be claimed nor rejected.

  2. Add external profiles
  • An external profile may already be associated with your account.
    • If it is you, you can choose where you want works associated with this identifier to come into your queue by clicking Manage.
      • The default behavior is Auto claim associated items, in which case incoming works will be automatically added to the "Claimed" queue on your Scholarly & Creative Works page.
      • By selecting Auto suggest associated items, new works will be added to the "Pending" queue on your Scholarly & Creative Works page.
    • If it is not you, click Manage.
      • Choose Remove this ORCID account and auto reject associated items to automatically reject works where the author has this ORCID iD.
      • Choose Remove this ORCID account and ignore this ORCID in which case no special action will be taken when this ORCID is seen in works.
  • If you have a profile that is not yet associated with your account, click the button and add it. You will be given the same options as above. If you select Auto claim associated items, all works associated with the ID will be automatically claimed. Please wait several hours while the works are harvested before they will appear.
    • Add external identifiers
    • Add a new Scopus ID
  • To check works associated with your Scopus profile, see the Curate your Scopus Profile page.
  • The works in your Experts profile can be written to your ORCID profile by clicking on Menu > Settings > ORCID Settings and selecting "I permit OSU Experts Directory to: read from and write publication data to my ORCID account."


Part 2 - Name-based Search Settings

Next, configure your name search settings to increase the accuracy of your name-based searches, and reduce the amount of false positives.

Go to Experts Directory menu icon(Menu) > Settings > Name-based search

It is important you scroll down and click Save after making these changes.

  1. Name variants – Include all combinations of your last name, first name, middle name, and initials under which you have published.  Always write your last name first, followed by a comma (e.g. use Smith, AG, not AG Smith; use Smith, Andrew G., not Andrew G. Smith).
    • Tip: If you have a hyphenated name for which some systems pull only the second part, consider adding both variants (e.g. use both Lopez-Velasquez, M. and Lopez, M. and Velasquez, M.). Note that this may result in higher false positives.
  2. Addresses -- Add keywords associated with all institutions you have worked for or with. You may see "Oklahoma State University" in this field. This will add the affiliation to your name-based searches.
  3. Start date (OPTIONAL) -- Enter a date that represents when you started publishing work. Use one of the date formats indicated. This will prevent Elements from harvesting older publications from those who share your name and accidentally attributing them to you.
    • Avoid entering data under keywords or journals except as a last result if you have excessive pending publications. Specifying one or more keywords restricts the Synchronizer to finding only publications that match those keywords. Specifying one or more journals restricts the Synchronizer to finding only publications published in that journal. 
  4. Click Save to save your search settings.

Part 3 - Clear Pending Queue and Run a New Search

Go to Experts Directory home iconHome

  1. Navigate to your Scholarly & Creative Works box and click the three dots in the upper right corner.

  2. Select clear pending.
  3. Go to Experts Directory menu icon(Menu) > Settings > Name-based search. In the top Status box, click Run My Searches. This will prompt a new search of the data sources.

  4. Wait until it says "Last search succeeded" for all data sources. 
  5. Return to Experts Directory menu icon(Menu) > Settings > Automatic Claiming and see if any new identifiers have been discovered. Claim and reject IDs as needed.
